Test send threshold, Subject/Pre-header , URL Expiraton, Validation, Profile & Preference management

๐Ÿ“ŒTest Send Thresholds -

Test Send Thresholds define the limit of emails that can be sent as test emails from a single user or account within a specific time period.

Warning Threshold

This feature displays a notification when a test send exceeds the specified threshold. You can bypass this notification to perform the test send. Minimum value is 1.

This notification displays when a test send exceeds the maximum test send threshold. You cannot bypass this notification to perform the test send. Max value is set to 1000.

What it means:

A Warning Threshold is a soft limit alert level.

๐Ÿ‘‰ It does NOT stop you from sending
๐Ÿ‘‰ It only warns you that you're approaching the limit

For Example:

Warning threshold = 80 emails

  • You send 75 test emails → SFMC shows warning
  • You can still continue sending

Purpose:

  • Alert users early
  • Prevent accidental overuse
  • Improve governance awareness

๐Ÿ”นSubject & Pre-header Validation :

It validates two key elements in Email:

1. Subject Line -

  • Example: “50% Off Today Only”

2. Pre-header Text

  • The preview text shown next to/below subject line in inbox
  • Example: “Don’t miss your exclusive offer inside…”

Benefit of Subject Pre-Header Validation

1. Content Checks

  • Empty subject line ❌
  • Missing pre-header ❌
  • Too long subject (truncated risk)
  • Duplicate or repetitive content

2. Spam & Deliverability Checks

  • Excessive capital letters (e.g., “BUY NOW!!!”)
  • Restrict Spam trigger words (e.g., “Free $$$”)
  • Overuse of symbols/emojis
  • Improves open rates
  • Reduces spam folder placement
  • Ensures professional inbox appearance
  • Enhances subscriber experience

๐Ÿ“ŒURL Expiration :

A URL Expiration means:
๐Ÿ‘‰ The link will stop working after a defined time or condition

Instead of being permanent, the URL is:

  • Time-bound
  • Token-bound
  • Session-bound
Benefit/Use case of URL Expiration
  • Password reset links
  • OTP verification links
  • Limited-time discount offers
  • Account activation emails
  • Secure document downloads

๐Ÿ‘‰Header And Footer :

Header and Footer in emails are reusable sections that define the top and bottom parts of an email template and help maintain consistency, branding, and compliance.

The Header is the top section of an email.

It includes :
  • Company logo
  • Brand name
  • Navigation links (Home, Offers, etc.)
  • Greeting or introductory banner

๐Ÿ‘‰ Purpose: Brand identity + first impression

The Footer is the bottom section of an email.

It includes:

  • Company address
  • Unsubscribe link
  • Privacy policy / legal links
  • Contact details
  • Social media icons

๐Ÿ‘‰ Purpose: Compliance + trust + user control

First we set header and footer set to NONE.

Without Footer we are unable to send an email to subscriber : As given below  Error

We can edit and design the footer from system snippet : and there are two snippets are compulsory to make footer -

1. Physical mailing address
2. Profile center
Rest others are optional

Now after adding the footer : We are able to send the email without error :

๐Ÿ‘‰Profile Management :

It is the process of managing subscriber information such as:

  • Name
  • Email address
  • Preferences
  • Location
  • Custom attributes (loyalty ID, product interest, etc.)

๐Ÿ‘‰ In simple terms:
It is how SFMC maintains and uses customer data profiles.

๐Ÿ”น Example -

A retail company may store:

๐Ÿ‘‰ This profile is used to send:

  • Personalized offers
  • Targeted product emails

๐Ÿ‘‰Preference Management :

Preference Management refers to the system that allows subscribers to control what emails they receive, how often they receive them, and what topics they are interested in.

๐Ÿ‘‰ In simple terms:

It is how users tell SFMC “what I want to receive and what I don’t.”

๐Ÿ”น Example

A user selects:

  • ✔ Electronics offers
  • ✔ Weekly newsletter
  • ❌ Fashion updates

๐Ÿ‘‰ SFMC then sends only relevant campaigns:

Preferences stored in:

  • Data Extensions
  • Subscriber Attributes
✅Always include Preference Center link in footer.
